Information we collect
Information you give us. When you use the forms on our website, contact us or book a cleaning, we may collect:
- Contact details, such as your first and last name, email address and phone number, and how you prefer to be contacted.
- Your service address (street and city) and details about your property, such as its type, square footage, number of levels, bedrooms and bathrooms, flooring types, current condition, pets and whether anyone smokes inside.
- The services and cleaning schedule you’re interested in, how you heard about us, and anything else you choose to tell us in a message or note, such as access instructions.
Billing, payment and gift certificate information. When you pay for a service or buy a gift certificate, we keep records such as your name, contact details, the amount and date of payment, invoice details and, for gift certificates, the recipient’s name, any message and the certificate’s value and redemption status. These records are kept in our accounting system, QuickBooks Online by Intuit. We do not store full credit or debit card numbers.
Information collected automatically. Our website is hosted by Netlify, which records standard technical information such as your IP address, browser type and the pages you request, for security and to keep the site running. Our website does not use analytics, advertising or tracking cookies.
Spam protection. Our Contact form uses Google reCAPTCHA to tell real visitors from automated spam. reCAPTCHA collects hardware and software information, such as device and browser data, and sends it to Google for analysis. Its use is subject to the Google Privacy Policy and Terms of Service.
How we use your information
We use personal information to:
- Respond to your questions and prepare and schedule your free estimate.
- Schedule and perform cleaning services, including giving our cleaners the details they need, such as your address, access instructions and information about pets.
- Send invoices, process and record payments, and keep accounting and tax records.
- Create, deliver and track gift certificates, including their value and redemption.
- Provide customer service, follow up on feedback and improve our services.
- Protect our website and business from fraud and spam, and meet our legal obligations.
We do not sell your personal information, and we do not use it for third-party advertising.
Our QuickBooks integration
We use an application that connects to our own QuickBooks Online company to read payment and customer information so we can generate and track gift certificates. The connection is made through Intuit’s secure authorization process, and it can be disconnected at any time from QuickBooks. Information obtained through this connection is used only to create, deliver and manage gift certificates and keep the related records, and it is handled as described in this policy. Use of the application is also governed by our End User License Agreement.
How we share information
We share personal information only as needed to run our business:
- Our team. Our staff and cleaners receive the information they need to provide your service.
- Service providers. Companies that help us operate, including Netlify (website hosting and form processing), Intuit (QuickBooks accounting, invoicing and payments) and Google (reCAPTCHA spam protection). They may use the information only to provide their services to us.
- Legal reasons. When required by law, or to protect the rights, property or safety of our customers, our team or others.
- Business changes. If our business is sold or reorganized, customer records may be transferred as part of that transaction, subject to this policy.
How long we keep information
We keep personal information for as long as we need it for the purposes described above, including for as long as you are a customer, and as required for accounting, tax and legal purposes. Estimate and contact requests that don’t lead to service are deleted when we no longer need them.
How we protect information
We use reasonable administrative, technical and physical safeguards to protect personal information, and our website is served over a secure (HTTPS) connection. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices
You may ask us to tell you what personal information we hold about you, or to correct or delete it, by contacting us at info@cleantimeinc.com or (630) 634-8095. We may need to keep certain records, such as payment and tax records, where the law requires it.
Children’s privacy
Our website and services are intended for adults. We do not knowingly collect personal information from children under 13.
